Bulk Sending:
Sign Documents at Scale

Sending documents one by one is fine when you have three recipients. When you have three hundred, you need bulk sending. Here is how to do it efficiently with CSV upload and mail merge.

What is Bulk Sending?

Bulk sending lets you take a single document template and send it to many recipients at once, with each copy personalised using data from a spreadsheet. Instead of creating and sending each envelope individually, you upload a CSV file with recipient details and the platform creates individual envelopes for everyone in the list.

Combined with mail merge, bulk sending can also personalise the content of each document. For example, an employment contract bulk send could insert each employee's name, position, salary, and start date into their individual copy of the contract.

How It Works

Prepare Your Template

Upload a PDF or use one of our 14 templates. Place signature, date, and name fields where they need to go. If using mail merge, add merge field placeholders for any variable content.

Create Your CSV File

Prepare a spreadsheet with one row per recipient. At minimum, include email and name columns. Add any additional columns for mail merge fields.

Upload and Review

Upload the CSV and review the recipient list. The system validates email addresses and highlights any issues. You can preview individual documents to verify merge fields before sending.

Hit send and every recipient gets their personalised document. Track completion in real-time from your dashboard. Automatic reminders chase anyone who has not signed.

Best Practices for Bulk Sending

Before Sending

  • Test with a small batch first (3-5 recipients)
  • Validate all email addresses in your CSV
  • Preview merged documents for accuracy
  • Set appropriate expiry dates
  • Configure automatic reminders

After Sending

  • Monitor the dashboard for completion rates
  • Follow up personally on high-priority signers
  • Download completed documents promptly
  • Check for bounced emails and resend if needed
  • Archive the batch for future reference

CSV File Tips

Save your spreadsheet as UTF-8 CSV to handle special characters correctly

Use clear column headers with no spaces (use underscores: start_date, not start date)

Remove any blank rows at the end of the file

Check for duplicate email addresses -- each recipient should appear only once

Ensure date formats are consistent (use DD/MM/YYYY for Australian convention)

Keep currency values as plain numbers (95000, not $95,000) for reliable merge
